How the digitization of supplier management strengthened governance, sustainability, and productivity at FS Bionergia with the support of Linkana.

With expanding operations and a growing base of suppliers, FS Bioenergia faced a critical challenge: ensuring efficiency and governance in the qualification process without sacrificing agility and security.

It was in this scenario that the strategic partnership with Linkana was born, which centralized, automated, and structured the entire registration and qualification journey of suppliers. The result? More than 5,000 qualifications completed successfully, auditable processes, strategic indicators, and significant advancements in sustainability and ESG impact.

The challenge: accelerated growth demands control and risk visibility

With a base of over 8 thousand suppliers and around 300 new registrations monthly, FS Bioenergia needed a robust and scalable process. The main critical points were:

  • Lack of risk visibility in qualification

  • Decentralized and poorly traceable processes

  • Low standardization and high risk of fraud

  • Use of multiple systems and little automation

In addition, with FS's advancement in areas such as compliance and ESG, it became essential to integrate different technical areas (environmental, legal, socio-environmental, logistics and supplies) into a unified, agile, and reliable flow.

The solution: total integration with Linkana as the central platform

The transformation began in March 2023 and gained momentum in the following months. Linkana was chosen as the central qualification platform, connecting all involved areas and consolidating risk analyses into an intelligent and automated score.

Strategic integrations implemented:

  • SAP: automatic creation of registration after qualification.

  • Serasa: inclusion of the financial score in the supplier's risk score.

  • Neoway: complementary risk analysis for compliance.

  • Microsoft Azure: authentication via corporate login.

Linkana became the only entry point for new registrations, replacing systems like Top Desk. All analyses are conducted within the platform, with automatic activation of technical areas when specific risks are identified.

Results: agility, control, and ESG impact in practice

📊 Centralization and standardization

All registrations and analyses were unified in a single system, with automatic triggers, opinion recording, and complete traceability. This allowed for more effective management, with fewer errors and more confidence.

⚙️ Efficiency and productivity

More than 5,000 qualifications performed in 12 months, with a reduction in registration lead time from 16 hours to zero, thanks to the Linkana + SAP integration. The average qualification time in 2025 was just 1.45 days, even with multiple areas involved.

🔐 Reinforced governance and compliance

Linkana was highlighted in ISO 14001 and 45001 certification audits for its ability to consolidate documents, scores, and performance in one place. Traceability and automations increased safety and reduced fraud.

🌱 Environmental and social impact

With a zero-carbon operation and the BECCS project underway (which will make FS carbon negative), selecting reliable suppliers is strategic. Linkana helps avoid partnerships with unscrupulous companies, reinforcing the commitment to ethics, sustainability, and social responsibility.

In addition, with Linkana, FS achieved:

  • Qualify over 3,300 local producers and customers

  • Increase traceability in corn acquisition and DDG distribution

  • Facilitate rural supplier engagement with a user-friendly interface and simplified flows

Learnings and next steps

The project's success was made possible by collaborative governance and the active engagement of technical areas, led by Pedro Ivo, FS manager. The category matrix was built with all key areas (compliance, legal, sustainability, environment and supplies), defining specific criteria by supplier type.

Risks overcome:

  • Engagement of rural suppliers: mitigated with a simple interface, assisted filling, and automation of public data.

  • Inter-area complexity: solved with the use of Linkana's “review groups”.

  • Data volume: controlled with alerts and filters that trigger analyses only when there is a risk.

Expected developments:

  • Access management via Azure AD

  • Expansion of automations for individuals, with automatic collection of IE

  • Improvements in data extraction flows for internal BI
